How to Choose the Right Dealership Software
Most dealers don’t need one big platform. They need three tools that each do one job well: a CRM, a DMS, and a delivery / workflow platform. Here’s how to evaluate each layer without getting sold the wrong shape of software.
Start with the three layers
- CRM — leads, follow-up, and customer communication before the sale
- DMS — system of record (inventory, F&I, accounting, parts, service)
- Delivery / workflow platform — coordinates the operational floor between sold and delivered
Picking software starts with naming which layer you’re actually buying. Most pain at multi-rooftop stores comes from trying to make one layer do another’s job — running workflow inside a DMS, or running F&I inside a CRM. New background on each layer: CRM, DMS, delivery platform.
Choosing a dealership CRM
- Lead routing rules that fit your floor (round-robin vs skill-based vs source-based)
- Real-time integrations with your lead sources (OEM, third-party, website)
- Texting and call recording in the same timeline as email
- Reporting on the funnel metrics that actually predict closes — appointment, show, and close rate
- Honest evaluation of what the CRM does NOT do (operational workflow, F&I funding, accounting)
Choosing a dealership DMS
- Manufacturer compatibility for every franchise you carry
- F&I lender integrations and e-contracting where available
- Accounting schedules and month-end close speed
- Parts and service workflow if you run a fixed-ops department
- Open API or data feeds so other tools can read your inventory and deals
DMS migrations are painful and expensive. Choose it for the next 5+ years, not the next 12 months — and don’t expect it to be your workflow tool.
Choosing a delivery / workflow platform
- Live unit-level board, not just monthly reports
- Stage ownership and SLAs at the unit level — not the department level
- Real-time at-risk alerts before a slip becomes a missed delivery date
- Mobile-first UX the floor will actually use
- Reads from your existing DMS instead of forcing duplicate data entry
- Cross-rooftop reporting if you run multiple stores
Multi-rooftop considerations
Stores with 3+ rooftops have an extra problem: every layer has to roll up cleanly across locations. A CRM that reports per-store but not per-group, a DMS that forces a separate instance per franchise, or a workflow tool with no group-level dashboard quietly costs ownership visibility every single day.
Ask every vendor: “Show me the group view with all rooftops, then drill into one store, then into one unit.” If they can’t do that smoothly in the demo, they can’t do it in production either.
